Purpose and Legal Basis of Processing
The data processing is carried out for the performance of a task in the public interest or related to the exercise of official authority, pursuant to Article 6(1)(e) of the GDPR, for the following purposes:
- Provision of library services of the Bibliographic Research Network (Polo UTO)
The legal basis is also rooted in the institutional purposes of education and research of the University (Laws 168/1989 and 240/2010) and its Third Mission goals, such as cooperation with public and private entities (University Statute, Rectoral Decree 1730 of March 15, 2012).
Types of Data Processed
- Personal details: name, surname, date of birth, tax code
- Contact details: address, email, phone number
- Study program, department affiliation, or profession
Data Provision
Providing this data is mandatory. Failure to do so will prevent access to services like loans, reservations, saved searches and bibliographies, and library notifications.
Data Processing Methods
Data will be processed using electronic and telematic tools, ensuring security and confidentiality. Processing is done within the University of Turin and the co-controllers by authorized and trained personnel.
External Data Processors
Data may be communicated to external service providers acting on behalf of the co-controllers and formally appointed as Data Processors under Article 28 of the GDPR.
For the Sebina-Catalog service, DMCultura-Dot Beyond, based in Rome, has been appointed as external processor.
Categories of Data Recipients
Controllers define the organizational structure and instruct personnel on data processing methods to ensure deontological compliance and protection of data subjects' rights.
Data Transfers to Third Countries
The University does not transfer personal data outside the EU or to international organizations.
Data Retention Period
Data will be stored only for as long as necessary to fulfill the purposes of processing, and will be deleted three years after the last access to the service.
Data Subject Rights
Data subjects may exercise their rights under Articles 15–21 of the GDPR (e.g., access, rectification, erasure) by writing to:
